The photograph shows several identical packs

Imagine a supplier sees a photograph of unopened materials at a site now controlled by a liquidator. Several suppliers delivered the same product, and the labels are not readable. The supplier believes the packs are its unpaid goods. Before asking for release, assemble records that identify the actual items and distinguish confirmed facts from an assumption based on appearance.

Keep identification separate from legal entitlement

PPSR guidance explains that retention-of-title arrangements create security interests and that registration matters to protection. Ask a qualified adviser to assess your terms and registration records. Even a good physical match does not settle the legal position. Do not enter the site or collect goods simply because they look like the material shown on your unpaid invoice.

Start with delivery identifiers

Gather order numbers, delivery dockets, product descriptions, quantities, batch or serial references and any contemporaneous photographs. Identify the delivery location and date. In the hypothetical example, a carrier's record may show where the packs were unloaded, but not which packs remain. Record that limitation rather than claiming the carrier has confirmed current ownership or stock position.

Reconcile later movements

Check for returns, transfers to another area, installation and subsequent deliveries. Ask the people with direct knowledge for factual records where available. Preserve differing recollections. Do not assume the original quantity is still present because there is no return credit. A clear movement history can show which parts of the enquiry need on-site confirmation through an authorised process.

Send a precise enquiry

Provide the liquidator with the item schedule and the supporting documents requested, through verified contact details. Explain the basis of the claim and any identification uncertainty. Ask about an appropriate inspection or verification process rather than arranging access unilaterally. Keep the adviser involved if the registration, ownership or treatment of the goods is disputed.

Update the claim with verified facts

Record what the liquidator or authorised inspection actually confirms and revise the schedule transparently. Keep photographs and correspondence with the original records. CRP can help organise the creditor information. The practical aim is an assessable enquiry about identifiable goods, rather than a broad demand for everything on site that resembles what your business once supplied.
