You’re taking drawings the business can’t afford.

Owner payments must be considered within the business cash and legal position. Reconcile what has been taken and obtain advice before treating the bank balance as money available for personal use.

The regular transfer no longer fits

A small agency owner transfers the same amount home each month, even after customer collections slow. Supplier balances begin to age and the bookkeeper warns that the next transfer will leave tax and wages unfunded. The payment habit needs a current review rather than automatic repetition.

Identify the payments accurately

List transfers, personal expenses paid by the business and any repayments or reimbursements. Ask the accountant to classify them correctly for the business structure. Do not assume every owner payment is interchangeable drawings, wages or a dividend.

Keep company and household records distinct. If previous entries are unclear, preserve the evidence and have them reconciled instead of relabelling amounts to obtain a preferred result.

Calculate the actual business capacity

Prepare a forecast including current obligations and known upcoming costs. Business.gov.au cash-flow guidance tracks incoming and outgoing funds. Show the owner payment explicitly rather than burying it in miscellaneous expenditure.

Test the position if expected customers pay late. A positive balance before an owner transfer may already be committed to wages, supplier invoices or other liabilities.

Rework the household expectation

Build a realistic personal budget and discuss the amount and timing the business can properly support with advisers. Identify the consequences of any reduction before committing to another rescue transfer.

Avoid replacing reduced owner payments with undocumented business-funded purchases. That can hide the same cash outflow while making the records harder to understand.

Set a review and approval process

Ask the accountant and lawyer about any legal, tax or solvency concerns relevant to the proposed payments. If the company cannot meet debts when due, obtain appropriate advice before continuing distributions.

Record the agreed basis and revisit it when trading changes. An owner payment should reflect current capacity and proper authority, not simply the amount that felt affordable in a stronger year.
