Two labour-hire workers share a name: keep the invoice evidence distinguishable

A name match is not always enough
The customer's accounts team queries two labour-hire lines because both appear under the same surname and initial. The supplier knows two different people worked, but the invoice pack does not make that clear. Resolve the identity ambiguity before changing the amount. A repeated display name can look like a duplicate charge even when the underlying attendance records refer to different workers.
Trace the identifiers already used
Compare the roster, booking reference, site access record where available and approved attendance. Identify the stable work reference that links each person to the relevant shift. Do not invent a new identifier that cannot be traced back to the original record. Keep spelling variations visible in the reconciliation so a later reviewer can understand how the documents connect.
Preserve the underlying records
Business.gov.au recommends maintaining clear business records and protecting their access. Keep the original attendance and billing evidence intact. Prepare a separate explanation that resolves the name issue rather than overwriting a signed record. If a factual correction is needed, make it traceable and have the appropriate person verify it; do not manufacture an approval the customer never gave.

Consider a hypothetical repeated name
Imagine two workers listed as J Smith on the same site's invoice. One performed the morning assignment and the other a separately booked afternoon task. The original work references distinguish them, but the invoice export omitted those references. Supplying a clear cross-reference may answer the query. It does not excuse an actual duplicate or prove hours that lack supporting records.
Provide only relevant identity information
Ask what the authorised reviewer needs to match the work. Do not automatically send entire payroll files or unrelated personal information to resolve an invoice question. Use appropriate secure channels and obtain privacy advice where needed. The practical objective is a reliable link between the worker record and the billed attendance, not a general disclosure of each person's employment details.
Correct the recurring export problem
Once the account is reconciled, review how invoices display worker references so the same ambiguity does not return next week. Confirm any corrected bill follows the business's normal process and does not create a second charge. A stable reference can improve verification while retaining the original evidence needed to investigate genuine differences in attendance, approval or billing.
