The relief can arrive before the paperwork

Sending the last payment after months of pressure deserves a moment of relief. It also deserves one final administrative check. A transfer confirmation shows money left your account. It does not, by itself, explain how the creditor allocated that money or which obligations the payment resolved.

Put three records beside each other

Find the latest creditor statement, the agreement governing the final payment and the bank transaction. Compare the account name, reference, amount and date. If a settlement changed the amount payable, keep that agreement with the original balance rather than editing old invoices to make the figures appear to match.

Keep the trail understandable

Business.gov.au includes bank records and business expense records in its record-keeping guidance. For this closing check, make a short note showing the balance before payment, any documented adjustment and the amount transferred. Someone who was not involved in the negotiations should be able to follow the calculation without guessing.

A payment can land against the wrong item

Imagine a hypothetical plumbing business paying an agreed final $4,800 using an old invoice reference. The supplier's next statement still shows another invoice unpaid. That does not establish a new debt or prove the supplier is wrong. It means the allocation needs checking against the agreement and actual ledger entries.

Ask a precise closing question

Send the payment details and ask for the updated account position. If the answer differs from your records, identify the particular charge or allocation in question. Where a guarantee, security or settlement release is involved, ask your adviser what separate confirmation or document is needed. Do not assume a zero trading balance answers every issue.

Close the task, preserve the evidence

Once the position is reconciled, mark the account with the date and location of the supporting documents. Retain the records under the rules applying to your business. If something remains unresolved, leave it visibly open with a named person responsible. A clean finish is a reliable record, not simply an empty reminder list.
