The larger business requests every project record at once

The request is larger than the disputed issue
Imagine a small contractor disputes a variation and the larger customer asks for every project email, costing sheet and staff message. The owner begins exporting entire mailboxes to appear cooperative. Pause the export long enough to identify what kind of request this is and obtain legal advice promptly. Its breadth does not establish what must or should be provided.
Keep the dispute's purpose visible
business.gov.au recommends checking the facts and identifying the desired result when managing a dispute. Explain the actual issue to your adviser alongside the request. Distinguish ordinary correspondence from a formal court process or contractual requirement. Do not assume every request is optional, but do not assume a large customer's letter creates unlimited access to your records either.

Preserve before selecting
Keep relevant original documents intact while the request is assessed. Do not delete unfavourable material or change records to make the file easier to present. Record the requested date range, subject matter and deadline. In the hypothetical example, the variation may concern a few weeks, while the requested archive covers years of unrelated jobs and other customers.
Ask what the request is seeking to establish
Have the appropriate adviser clarify ambiguous categories or excessive scope where suitable. Identify which records directly address the disputed instruction, work or price. Avoid personally deciding that inconvenient documents are irrelevant. Questions about disclosure obligations, confidentiality and privileged communications need legal assessment; the practical inventory should help that review rather than replace it.
Control the eventual production
If records are to be provided, agree the selection, format and authorised sender with the adviser. Check for accidental inclusion of unrelated personal or commercial information. Keep an exact copy and index of what was supplied and when. A clean transfer record helps resolve later questions about missing attachments or different document versions without relying on memory.
Keep the work proportionate and accountable
Assign a person to coordinate searches and record any unresolved gap. Ask the adviser which tasks are urgent and what can be narrowed or staged appropriately. CRP can help organise the commercial evidence. The goal is a properly assessed response to the actual request, not an indiscriminate archive dump or an unsupported refusal simply because the other party is larger.
