The reserve exists but the timing does not match
A hypothetical recovering business has placed part of its cash reserve in a term deposit. A supplier payment becomes due before maturity, and the owner assumes the reserve can be transferred that afternoon. Check the account terms and provider's process before promising payment. The existence of savings does not establish the date on which they can fund an operating commitment.
Record the account holder, balance, maturity date and instructions already given. Keep any security or other restriction questions visible for advice. Do not assume a term deposit held personally or by another company is automatically available to this business. The forecast should identify whose funds they are as well as their expected availability.
Moneysmart explains that early withdrawal from a term deposit may involve notice and reduced interest or a penalty. Ask the provider how the actual product works and obtain written confirmation of the relevant options. This article does not recommend withdrawing, retaining or choosing an investment; that decision requires the business's circumstances and appropriate advice.
In the hypothetical example, show the supplier due date and the provider's confirmed access timing separately. Include any supported cost of the proposed withdrawal. Do not count the deposit both as immediately available cash and as a future maturity receipt. Ask the accountant to reconcile the forecast with the actual accounts and unresolved conditions.
Find out whether the deposit will be paid out or renewed under its current instructions and what action is needed to implement the intended choice. Do not assume doing nothing produces the result the business wants. Assign an authorised person to confirm the instruction through verified banking channels and retain the acknowledgement.
If funds will not be available when needed, raise the shortfall promptly with the relevant advisers and address creditor communications honestly. CRP can help organise the operating cash picture. The useful improvement is a reserve schedule showing access conditions and dates, so the business does not confuse a healthy savings balance with money ready for the next payment run.
