The hold may bring a second disputed balance

You are negotiating an old invoice when the supplier says it is also charging storage for goods awaiting release. Ask for the basis and calculation promptly. Do not assume the fee is automatically payable or automatically invalid. The contract, communications and actual circumstances need review before you accept a growing amount as part of the account.

Identify when the charge is said to start

Imagine a supplier claiming weekly storage from the date an order was ready, although collection was later refused because of another invoice. Keep the readiness notice, attempted collection arrangements and hold correspondence. Ask which period is charged and why. Distinguish a missed agreed collection from a period when the supplier would not release the goods.

Locate the terms relied on

business.gov.au recommends clear contract terms and understanding obligations before agreement. Give your adviser the accepted order, applicable terms and any later storage proposal. Ask the supplier to identify the provision or agreement it relies on. A new line on a statement does not explain how the amount was calculated or whether the claimed entitlement is supported.

Reconcile the calculation separately

Check the rate, units, dates and any minimum charge against the supplier's explanation. Keep the storage amount separate from the original goods invoice and other arrears in the working schedule. If the charge is recurring, update the calculation as discussions continue. Do not hide it inside a single overdue balance that makes the underlying disagreement harder to understand.

05 / 06

Assess practical ways to limit further cost

Ask advisers whether an agreed collection, alternative storage arrangement or another documented step could resolve the immediate problem. Consider freight, access and ownership issues before arranging anything. Do not enter premises or remove goods without authority. A sensible commercial proposal should identify what happens to the existing charge as well as whether further charges will stop.

Confirm the account after resolution

Record the agreed treatment of storage, the collection date and any remaining dispute. In the supplier example, check the final statement for charges continuing after collection. Retain supporting records and raise discrepancies promptly. Resolving the release without addressing the accumulating storage claim can leave the company facing another argument after the materials have finally reached the site.
