The rebate may depend on more purchasing

The business is comparing closure with a smaller operating model. The forecast includes a supplier rebate expected at year end, but purchasing would stop well before then. Check the arrangement before treating that amount as available cash. A rebate estimate based on the original buying programme may no longer describe what the proposed decision would earn.

Find the agreed calculation

Collect the rebate agreement, applicable period, purchase records and supplier statements. Identify thresholds, excluded goods, returns and any conditions concerning continued purchasing or account status. Keep a provisional estimate distinct from a confirmed credit. Do not infer the result solely from the percentage used in last year's accounts or an informal representative's comment.

Have unclear terms assessed

Business.gov.au recommends understanding contractual responsibilities and payment arrangements. Ask the adviser how the actual rebate terms apply to the proposed change, including any repayment or adjustment provision. This article does not establish a supplier's right to claw back money or decide whether a rebate has already been earned. Those questions depend on the agreement and relevant facts.

Use the reduced purchasing case

Imagine a business forecasting a rebate after reaching an annual purchase threshold. The smaller operating plan would leave purchases below that figure. Show the revised calculation and the supporting assumptions to the accountant. Do not buy unnecessary stock solely to preserve the rebate without comparing the additional cash, storage and commercial consequences of doing so.

Reconcile credits already received

If the supplier has issued interim credits, identify them separately and ask whether any later reconciliation is required. Avoid removing a possible repayment from view because the credit was applied months ago. Equally, do not record an asserted clawback as admitted without assessment. Keep the supplier's explanation, the contractual basis and unresolved differences together.

Update the actual options comparison

Revise the cash scenarios using the amounts and dates supported by advice and confirmation. Show uncertain rebate receipts or adjustments transparently. A decision to reduce trading can affect purchasing benefits as well as costs. The useful comparison measures both effects instead of carrying a full-volume rebate into a plan that deliberately stops the purchases on which it may depend.
