Several small spending restarts can drain a recovering business

Coordinate reinstatement of paused discretionary spending after a cash crisis rather than approving isolated small requests.

Everyone has a reasonable request

Imagine a recovering business has paused advertising, training and several software upgrades. As cash improves, each department asks to restart one item. Every request looks manageable on its own. Before approving them, put the combined cost and timing in front of the person responsible for cash. Separate approvals can create a commitment that nobody assessed as a whole.

Start from the payment forecast

business.gov.au describes cash flow statements as tools for planning incoming and outgoing money and identifying shortages. Use the current forecast rather than only today's balance. Ask the accountant to check the available headroom after existing commitments. The fact that an expense was once affordable does not establish it fits the business's present payment cycle or recovery position.

Collect the actual restart terms

For each request, identify the upfront payment, recurring amount, minimum term and cancellation conditions. Distinguish a renewal from a new contract with changed pricing. In the hypothetical example, a monthly-looking software fee may require annual payment, while a training booking may be non-refundable. Those details affect the decision more than the short label in an email request.

Identify dependencies and alternatives

Ask what practical result each purchase supports and whether it relies on another expense. A marketing restart may also need staff capacity to handle enquiries; a system upgrade may require setup work. Consider whether the scope or timing can change without undermining the purpose. Avoid assuming every paused item must return simply because it was on the old spending list.

05 / 06

Approve a sequence with owners

Choose which items can proceed, which need more information and which will be reviewed later. Record the decision and total cash effect. Do not create an unrecorded promise to a supplier while calling the item only a proposal internally. Give each approved expense an owner responsible for checking that the order matches the scope and payment timing considered.

Check the combined result after payment

Compare actual costs with the approved restart schedule and update the forecast for ongoing amounts. Keep the remaining requests visible without treating them as already authorised. CRP can help organise the commercial review if the recovery remains fragile. Coordinating sensible requests protects the progress made without requiring the business to abandon every useful investment.
