The payment file was prepared before the notice arrived

A hypothetical business uploads a payment batch on Monday for processing later in the week. The bank then confirms an overdraft reduction effective before that processing date. The accounts team assumes the earlier upload means the funds are committed and the batch will proceed. Check the payment status and funding position with the bank rather than relying on when the file was prepared.

02 / 06

Identify what is actually scheduled

List the payments, intended processing dates, payees and amounts. Ask the bank or authorised payment administrator what has been submitted, authorised, processed or rejected. Those statuses may differ. Keep any direct debits or other scheduled movements visible alongside the uploaded batch. Do not assume an internal approval or on-screen status establishes that the recipient has received money.

Place the movements in the revised cash forecast

Business.gov.au recommends tracking dated cash movements and identifying estimates. Compare the queued payments with verified funds after the facility change. Include other expected receipts and commitments without presenting uncertain customer payments as certain cover. A batch that fitted the earlier funding position may need urgent review once the actual available capacity has changed.

Escalate the decision through the right authority

In the hypothetical example, the payment administrator should notify the authorised decision-maker rather than silently deleting selected items. Obtain appropriate advice where financial distress raises questions about which obligations can be met. Do not cancel wages, statutory payments or contractual commitments casually to make the batch total fit. The legal and commercial consequences need to be understood.

05 / 06

Coordinate any permitted changes accurately

If a change is authorised and available under the payment process, verify that it has taken effect. Record what was altered and why, and communicate with affected parties through the approved channel. Avoid sending a replacement batch before confirming the original status. An attempt to solve a funding gap should not create duplicate instructions or inconsistent promises to recipients.

Check the actual outcome

Reconcile processed and failed transactions against the bank record and update the cash forecast. CRP can help organise the broader position for professional review. The immediate objective is to identify commitments already in motion and manage them with verified information, rather than discovering after the facility change that an old payment schedule no longer had funding behind it.
