A better average can hide a worse problem

The average collection time has improved, but the bank balance remains under pressure. Check which invoices are included in the measure and what remains unpaid. A run of small prompt payments can make an average look better while one large overdue account continues to consume cash. Use the measure as a question, not a complete verdict on collections.

Compare paid and unpaid work

Imagine a wholesaler receiving many small cash sales while two major customers remain overdue. Review the paid-invoice history separately from the ageing of open accounts. Check whether the report measures days from invoice, due date or another event. Different definitions answer different questions and should not be compared as though they describe the same performance.

Keep the underlying invoice records clear

business.gov.au explains that invoice and receipt records help track sales and payments. Reconcile those records before relying on the report. Remove allocation errors and distinguish credits from cash receipts. A large invoice marked paid by an incorrect allocation can improve a dashboard without improving the amount of money actually available to the business.

Inspect the oldest exposure

List the significant unpaid amounts, disputed status and latest supported payment information. Avoid treating every old invoice as the same type of problem. In the wholesaler's example, one account may need a specific document while the other has repeatedly broken payment promises. Those situations call for different questions even if both sit in the same ageing band.

05 / 06

Choose an action measure

Track whether the team resolves identified issues and whether promised receipts arrive. A falling average alone does not show that an agreed collection action worked. Use comparable periods and explain unusual events. Keep the reporting simple enough that the business can identify which customer requires attention and why, rather than debate a number with an unclear basis.

Connect the finding to cash decisions

Update the forecast and review further exposure using the actual account position and appropriate advice. Do not assume that a more attractive chart funds next week's commitments. Better measurement is useful when it reveals the remaining payment problem early enough for someone to act on it.
