The site message is incomplete

Suppose a subcontractor receives a message saying the builder has gone into liquidation. Three related companies use the same branding, and two have placed orders with the subcontractor. A trading name in a group chat does not establish which company is affected. Start with the legal name on your agreement and the identifying details in the appointment information.

Understand why the identity matters

ASIC explains that liquidation puts an independent liquidator in control of the company's winding up. That concerns the appointed company, not automatically every business sharing its name or director. Your practical task is to match the appointment to the entity that owes your invoice, and to get advice where the documents point to different entities.

Use a small comparison sheet

Put the company name and ACN from the contract beside the invoice customer and appointment notice. Include the project address as context, not proof of the debtor's identity. Record mismatches exactly. If the purchase order names one company but the correspondence uses another, preserve both and ask for assistance instead of choosing whichever looks more likely to pay.

Verify the contact before sending records

Use independently checked professional contact details for the appointed liquidator. Ask the office to confirm which company its team is handling and how creditors should provide information. Do not send bank details or the entire customer file to an address copied from an unverified message. Keep a dated note of the confirmation and the contact provided.

Separate affected accounts from open questions

In the example, one contract may match the appointed company while another needs clarification. Record each position separately without concluding the second company is financially sound. Explain the uncertainty to your adviser before changing supply, demanding payment from another entity or agreeing to transfer a balance. Group branding is not a substitute for understanding the actual agreements.

Make the first enquiry precise

Send a concise enquiry identifying your business, the relevant company, project and unpaid account. Request the appropriate creditor information and keep the reply with the appointment details. Bring unresolved identity issues to CRP for help organising the next discussion. Getting the entity right makes later debt evidence and correspondence more useful from the outset.
