Keep a default notice tied to the correct project contract
Map a default notice to its actual contract and project rather than a combined builder account.

A familiar builder may have several contracts
Your business works on three projects for the same builder. A default notice arrives with a project name, purchase order and disputed work description that do not seem to match. Before replying, identify the agreement the notice concerns. Send the documents to a construction lawyer promptly, keeping any response timing visible while the apparent mismatch is assessed.
Imagine a glazing subcontractor supplying two apartment sites and a separate commercial refurbishment. Match each job number to the contracting entity, site, purchase order and scope document. Include amendments and relevant correspondence. A combined customer ledger may help reconcile money, but it does not establish that every project is governed by the same agreement or default process.
business.gov.au recommends clear contracts describing parties, work and dispute arrangements. Retrieve the documents for the identified project rather than assuming the latest contract used with the builder applies to older work. Give the adviser the full set. If documents appear inconsistent or a purchase order refers to missing terms, identify the gap instead of silently selecting the version most favourable to you.
Put the relevant programme, instructions and work records beside the notice. In the glazing example, photographs from the apartment site will not answer an allegation concerning the commercial refurbishment. Ask the project supervisor to verify locations and dates. Preserve unrelated project evidence separately so the response is not diluted by complaints about other unpaid jobs or conversations with different site teams.
Some agreements may raise issues across projects or related arrangements. Ask the lawyer whether that matters in the actual documents rather than assuming each job is completely isolated or every debt is linked. Do not offset disputed amounts or stop work elsewhere on the strength of an internal account summary without advice on the relevant position.
Have the response identify the correct agreement, notice and supporting material. If clarification is needed, use the method and timing advised by the lawyer; an enquiry does not automatically suspend a deadline. Keep each project team informed of the instructions relevant to its work. A precise contract map helps prevent one formal notice being answered with evidence from an entirely different job.
