Keep a card payment dispute aligned with the supplier administration claim

Two enquiries may concern the same deposit
Your supplier enters administration after taking a deposit paid by card. You contact both the administrator and the card provider. Tell each adviser about the other enquiry and keep the amounts aligned. Do not assume a bank dispute is available or successful, and do not continue reporting the full deposit as unpaid after a confirmed recovery without obtaining advice about the update.
Identify the original payment
Imagine a contractor paying a deposit for custom materials that never arrived. Keep the order, receipt, card statement and supplier communications. Ask the card provider promptly about its process, requirements and applicable timing. Describe the facts accurately. A card payment does not by itself establish that the provider must refund a commercial deposit in these circumstances.
Understand the administrator's role
ASIC's voluntary administration guidance explains the administrator's role in taking control and investigating the company's affairs. Provide the order and deposit information through the appointed administrator's process. Ask what evidence is required for your claim. A bank enquiry should not cause the business to ignore the administration or assume the administrator already knows about the potential alternative recovery.

Distinguish provisional and final amounts
If the card provider credits the account, ask whether the amount is provisional and what further review may occur. Keep the actual explanation and any conditions. In the contractor's example, a temporary credit should not be described as an unconditional completed refund. Tell the relevant adviser what has happened so the insolvency claim can be assessed accurately.
Update the claim when the facts change
Record any confirmed repayment, reversal or adjustment and ask how to notify the administrator and card provider. Avoid pursuing the same loss twice without disclosure. Keep the original deposit amount and subsequent events visible in a reconciliation. If only part is recovered, explain what remains and why rather than replacing the history with an unexplained new total.
Plan replacement supply independently
Continue assessing the materials needed for the job using funds actually available. A disputed deposit recovery is uncertain until its position is established. Preserve both enquiry files and outstanding actions. Coordinating the records helps the business pursue appropriate options honestly while avoiding inconsistent statements about what has already been returned.
