How do you lodge a claim for unpaid money?

A claim form should tell a clear, supported story about the amount owed and who is entitled to it.

A claim form needs a reconciled story

A small supplier receives a request for a proof of debt after a customer enters insolvency. The form looks straightforward, but the account includes several invoices, a credit and a part-payment. The supplier wants to submit the total quickly. Taking time to reconcile the evidence can prevent avoidable questions, a misstated amount or a claim lodged in the wrong business's name.

Confirm the correct process

Read the practitioner's notice and check the company, appointment and purpose of the request. A claim used for voting and a claim assessed for distribution may involve different decisions. Follow the actual instructions rather than reusing a form from another insolvency.

Verify the destination and required submission date. If the notice is unclear, ask a focused question promptly. Keep a copy of the request and any clarification so the person preparing the form understands what is being asked.

Build a reconciled amount

Start with the unpaid invoices and deduct receipts, credits and agreed adjustments. Separate disputed variations, retention and any additional claims that need explanation. Identify the date at which the balance is calculated.

Use a schedule that connects each amount to its evidence. The practitioner should be able to see how the total was reached without guessing. Do not include forecast future sales or unsupported losses as though they were ordinary unpaid invoices.

Attach useful supporting records

ASIC's creditor guidance describes supporting a debt claim with relevant documents. Include the agreement, orders, invoices and evidence of delivery or work as appropriate. Label attachments clearly and retain the originals.

Check that the claimant's name and authority are correct. A company claim should be submitted by an appropriately authorised person. If the account involves a trust, assignment, security or competing claim, obtain advice rather than forcing the facts into an unsuitable box.

Track what happens after submission

Request acknowledgement and keep the submitted version with its attachments. Note any request for more information and respond within the stated process. Submitting a form is not the same as receiving acceptance or a payment promise.

If the claim is reduced or rejected, read the reasons and obtain timely advice about the available response. Continue monitoring reports and contact-detail changes. A complete claim file remains useful throughout the insolvency, not only on the day the form is sent.
