Equipment inside a closed incident area is not available for the next job

Identify equipment unavailable because of incident-area access restrictions and assess alternative capacity without disturbing the site.

The schedule assumes the machine can leave

After a site incident, the affected area remains closed and your machine is still inside it. Another job is booked to use that machine tomorrow. Do not treat physical proximity as availability. Follow the directions of the responsible safety personnel and relevant authorities, and establish the access position before making another operational promise.

Identify the affected resources from existing records

Use the equipment register, delivery records and information you are authorised to receive to list what is unavailable. Include attachments or specialist tools needed to operate the machine elsewhere. Do not enter a restricted area, move equipment or disturb evidence merely to complete the list. Ask the incident coordinator how information can appropriately be confirmed.

Keep the operating record accurate

Business.gov.au's record-keeping guidance recommends accurate, secure business records. Update the internal availability record to show the restriction and the source of the information. Keep ownership, hire commitments and access uncertainty distinct. An item may still belong to the business while being unavailable for scheduling, and neither fact resolves the applicable safety or preservation requirements.

Compare alternatives without assuming recovery tomorrow

Imagine the next job needs the machine plus a particular attachment that is also inaccessible. A hire quote for the main machine alone may not replace the required capacity. Ask operations to compare complete alternatives, transport, mobilisation and competent operation requirements. Keep any expected recovery date conditional until the appropriate people confirm what can happen.

05 / 06

Review the financial effect with the right people

Show the additional hire or rescheduling cost alongside existing commitments in the forecast. Check contractual and insurance questions with the relevant advisers rather than assuming these costs will be reimbursed. Communicate revised availability accurately to the next customer. A funding concern should not become pressure on site personnel to relax a restriction they are responsible for managing.

06 / 06

Release the scheduling hold only on verified information

Record who confirmed access, any continuing conditions and when the equipment is actually available for the next task. Update the programme and cash assumptions together. The purpose is to prevent one incident from creating a second uncosted commitment elsewhere, while keeping the safety response and authorised control of the incident area firmly ahead of production pressure.
