Putting the card away does not end every charge
A hypothetical director stops buying materials on a personal credit card. A month later, software licences and storage subscriptions still appear on the statement. The spending decision changed, but the recurring arrangements did not. Find the services behind those charges before treating the card as a fixed balance that only needs repayment.
Record the merchant, amount, frequency and person who uses each service. Include annual renewals that may not appear on the latest statement. Ask staff to identify unfamiliar business services without sharing full card details unnecessarily. Keep personal subscriptions separate so the company review does not become a reason to expose unrelated household information.
Business.gov.au recommends clear contract obligations and terms. Review the relevant service agreement for the account holder, renewal conditions and cancellation process. Stopping a payment method is not the same question as ending the underlying service obligation. Obtain advice if liability or notice requirements are unclear rather than assuming a failed charge closes the account.
In the hypothetical example, one licence is unused, while another holds project records staff need. Ask the responsible manager to decide whether to retain, replace or cancel each service. Arrange any authorised record export or access handover before making a change that could interrupt work. Preserve evidence of cancellation requests and the supplier's response.
For retained services, confirm the approved payer and whether the provider accepted the new arrangement. Do not move charges to somebody else's personal card simply to clear the first card. Reflect the continuing cost in the business forecast. Check the following statement for unexpected renewals or charges still using the old payment details.
Give accounts the updated service list and supporting receipts so business costs and personal funding are recorded consistently. CRP can help review the wider reliance on personal credit. The immediate improvement is a controlled decision about each recurring service, with confirmation of the result, rather than assuming that no new shopping means no new debt.
