Travel should not be the first information plan

The unpaid builder operates interstate and the records are scattered across your office and sites. Before arranging a trip, ask the adviser what can be reviewed remotely and which original documents or witnesses may be needed later. A well-organised handover can make the initial discussion useful without pretending that every procedural step can be completed online.

Locate the people with firsthand knowledge

Imagine a supplier whose account manager is in Queensland while delivery staff and the project are in New South Wales. List who accepted the order, handled delivery and discussed the dispute. Record current contact details and availability through appropriate channels. Do not assume the person making the recovery call can personally explain every event in the file.

Keep original records available

business.gov.au recommends secure storage and backups for business records. Preserve original emails and attachments while preparing indexed copies for the adviser. Keep a clear link between each claimed amount and its supporting document. Avoid sending a single collection of screenshots where dates, attachments or the original sender information are missing.

Agree a practical briefing format

Ask for the preferred way to provide documents and identify sensitive material. Supply a short chronology, account reconciliation and questions requiring advice. Explain any access difficulty or missing record openly. In the supplier's example, a delivery image held on a former employee's personal phone may require a lawful retrieval plan rather than an assumption that it can be produced immediately.

05 / 06

Check later attendance requirements

Ask the lawyer which stages may require a person's attendance or further formal evidence and how those arrangements are determined. Do not promise remote participation or use another state's procedure as a shortcut. Build potential time and travel requirements into the commercial assessment once the appropriate process is understood.

Maintain one current file

Nominate who sends updates and records what has already been provided. Reconcile new payments and include substantive responses from the builder. Distance is easier to manage when the adviser can locate the evidence and the business can answer targeted questions. It becomes harder when several people send different versions of the account without explaining what changed.
