The collection needs its own factual record
Equipment finance is in arrears and, after advice, a return is being arranged. Confirm the agreed collection details and record what is actually handed over. The machine's condition, attachments and accompanying items may matter later. Do not assume that returning the asset clears the debt or that a collection receipt explains the final account position.
Imagine a contractor returning a loader with several attachments stored nearby. Check the finance documents and agreed instructions to establish what is included. Separate tools or property belonging to someone else. Do not hand over every item in the yard because it is beside the machine, or retain an attachment without obtaining advice about the actual arrangement.
business.gov.au recommends secure records concerning business assets and transactions. Record identifying details, meter readings and visible condition where appropriate, with dated photographs and the collector's documentation. Keep the evidence factual. A photograph should not be labelled as proof of a technical conclusion your team is not qualified to make.
Confirm the collector's identity and authority through appropriate channels and coordinate access with the site team. Identify keys, manuals and relevant service records required under the agreed arrangements. In the loader example, make clear who is responsible for loading and transport. Do not improvise unsafe movement simply because the truck has arrived.
Ask the adviser about any document that includes acknowledgements beyond physical collection. Do not sign an unexplained admission of balance or condition merely to finish the handover quickly. Note genuine discrepancies through the proper process and keep copies. The factual collection record and the financial consequences of surrender need to be understood separately.
Request the information needed to reconcile the subsequent sale or other treatment and any remaining debt, using advice on the actual agreement. Update the asset register and operational plans based on confirmed events. A clear handover file does not guarantee a favourable financial outcome, but it helps prevent later disagreement about what was collected, its recorded condition and the steps actually completed.
