A single leave total does not explain the final-pay obligation

The export combines different leave categories
A hypothetical company preparing to close receives a payroll export showing one total of unused leave hours per employee. The preparer multiplies that total by a wage rate and includes it all in the closure estimate. Obtain the category breakdown before relying on the figure. A balance of recorded leave is not, by itself, a calculation of what must be paid when employment ends.
Recover the category detail
Ask payroll for annual leave, personal or carer's leave and any other recorded categories separately. Keep the underlying transactions and identify adjustments not yet processed. Do not relabel leave merely because one category appears payable and another does not. If the software mapping is unclear, have the payroll specialist explain what each field actually represents before preparing a new report.
Check the applicable payout treatment
Fair Work Ombudsman's final-pay guidance distinguishes unused annual leave, which is paid out, from sick and carer's leave, which is not. It also explains the treatment of annual leave loading. Have the appropriate adviser check the employee's applicable entitlements and any additional contractual provision. Do not use the general distinction to decide every other leave category or individual amount without review.

Prepare a component-based calculation
In the hypothetical example, the corrected schedule should show each category, verified balance and the advised calculation basis. Keep questions about long service leave or other arrangements separate for the relevant advice. Avoid multiplying all balances by one rate on the assumption that every component uses the same method. Retain enough detail for a reviewer to reproduce the calculation.
Explain changes without losing the original record
If an earlier estimate was supplied to staff or a practitioner, identify the correction and its reason through the authorised process. Preserve the earlier version rather than quietly replacing it. Do not describe a corrected calculation as a negotiated reduction in entitlements. The task is to establish the proper amount, while any inability to fund it requires a separate insolvency discussion.
Use the reviewed balance consistently
Update the closure schedule and relevant payroll instructions together after approval. Keep employee information secure and provide a clear route for individual queries. CRP can help organise the commercial picture for the advisers. Separating the leave categories helps prevent a misleading combined balance from becoming a payment promise or claim figure that nobody can properly explain.
