The customer approves fewer units than you billed

Imagine your invoice charges for an installed quantity, while the customer's reviewer uses a delivery count. Another document records the work in a different unit. The account is held because the figures do not match.

Establish the measurement basis before arguing over the total. Two quantities can differ because they describe different things, or because one is wrong. The documents need to show which issue is present.

Identify the agreed basis for charging

Read the relevant scope, rate schedule and accepted changes. Determine what unit and measurement method the agreement uses for the item in question.

business.gov.au's contract guidance recommends clearly describing the work and payment arrangements. Those descriptions help frame the enquiry, but an unclear or disputed clause may require professional advice rather than an improvised interpretation.

Compare like with like

Put the invoice quantity and customer's quantity beside their units, dates and source records. Check whether both include the same area, stage or category of work.

Do not assume a delivery docket measures installed work or that a drawing quantity proves the final quantity completed. Identify what each record can actually demonstrate and what remains to be checked.

Check conversions and calculations

Verify any unit conversion, rate application and arithmetic using a consistent method. Have a suitably knowledgeable person check technical measurements where needed.

Keep a distinction between a calculation error and a disagreement about the measurement rule. Correcting arithmetic may resolve one issue without settling the contractual basis for the remaining amount.

Agree the next verification step

Ask the authorised customer contact what evidence or joint review would resolve the discrepancy. Record the proposed method, participants and scope so a further measurement does not repeat the same misunderstanding.

Preserve existing evidence and keep any agreed correction traceable. If the disagreement affects a formal claim or response deadline, obtain appropriate advice promptly rather than assuming the practical review suspends other requirements.

Send a short quantity reconciliation

For the next held invoice, provide the charging basis, supporting quantity and explanation of the customer's difference in a concise schedule. Identify the exact unresolved point and the action needed to assess it.

The objective is a verifiable approval discussion. A total is easier to resolve when both sides understand whether they are comparing the same work, unit and measurement method.
