The bank is investigating the transfer
After discovering an unexplained withdrawal by a business partner, you ask the bank whether anything can be recovered. Record the response carefully and obtain legal advice. A reference number or investigation acknowledgement does not establish that the transfer has been reversed. Do not put the missing money back into the available cash balance until the actual position is confirmed.
Imagine a company asking its bank to investigate a large transfer made by a departing director. Provide the correct date, amount, reference and supporting information through an authorised channel. Explain what is known and what remains disputed. Do not label the transaction fraudulent as a shortcut if authority and purpose are still being investigated by advisers.
business.gov.au recommends accurate records of bank transactions and secure storage of business information. Retain the original bank entry, enquiry reference and subsequent communications. Distinguish what the bank has confirmed from your interpretation. A note that funds may be located is different from evidence that the company has received money it can use.
Clarify whether the bank is requesting information, contacting another institution or reporting a completed transaction. Ask what documents or decisions are still required from you. In the departing-director example, the bank's enquiry may proceed alongside legal steps about authority and recovery. Keep the lawyer informed without assuming one process replaces the other.
Show a possible recovery separately from available funds and current obligations. If some money is returned, reconcile the amount and any remaining shortfall. Do not promise suppliers payment from an expected reversal simply because the bank is investigating. Seek advice about urgent operational and insolvency concerns if the business cannot meet commitments while the money remains unavailable.
Give advisers the final bank outcome and any related correspondence. A failed recall does not itself decide every legal recovery option, and a partial return does not explain all remaining issues. Record the status accurately and obtain instructions on the next step. The practical goal is to prevent an uncertain banking enquiry from being reported internally as a successful recovery.
